Prepare window sizes, quantities, opening styles, glass, colors and delivery information to receive a faster and more accurate quotation.

A window quotation is more accurate when the supplier receives clear drawings and consistent specifications. Width and height alone are not enough because the same opening can use different frame systems, glass, hardware and opening arrangements. Missing information forces the supplier to make assumptions, and those assumptions can create price differences or revisions later. The following checklist helps buyers prepare an inquiry that can be priced efficiently.

Window sizes and quantities

Provide the width and height of each unit and state the unit of measurement. A window schedule is usually clearer than sending dimensions in separate messages. Each design should have a reference such as W01 or D03, followed by the quantity. Mark any arched, angled or combined units separately. If dimensions are preliminary, label them as estimated so the quotation is not mistaken for a production order.

Opening style and direction

The drawing should show which panels are fixed and which panels open. For sliding products, indicate the number of tracks and moving panels. For casement or awning products, show the hinge side and whether the sash opens inward or outward. For doors, identify the active leaf, handle side and threshold requirement. Clear opening diagrams prevent price changes caused by different interpretations.

Material and profile system

State whether the project needs UPVC or aluminum. If a profile series has already been selected, include the frame depth or series name. If it has not been selected, explain the building type, location and performance priorities so the supplier can propose an appropriate system. Large units and heavy glass may require a stronger series than small residential windows.

Glass and accessories

· Glass type and thickness, including air space or laminated interlayer

· Clear, tinted, reflective or Low-E appearance

· Tempered or laminated safety requirements

· Mosquito screen type and which openings need screens

· Locks, handles, restrictors, rollers and other specified hardware

If the final glass has not been chosen, provide the main goal, such as thermal insulation, safety, sound reduction or basic residential use. The supplier can then price a recommended option and clearly state the assumption in the quotation.

Color and finish

Specify the frame color on the inside and outside. UPVC options may include white, solid colors and woodgrain finishes. Aluminum may use powder coating, anodizing or woodgrain transfer. Color references, samples or recognized codes reduce misunderstandings. When two materials are used in the same project, similar color names do not guarantee a perfect visual match.

Delivery information

Provide the destination country and preferred port so the supplier can estimate packing, container use and freight when needed. State whether the required term is EXW, FOB, CIF or another agreed Incoterm. For project quantities, indicate the expected order date and required delivery period. This helps the factory assess production capacity and shipment planning.

How to compare supplier quotations

When quotations arrive, compare more than the total amount. Check that every supplier used the same quantities, dimensions, opening styles and glass. Review whether screens, reinforcement, hardware, packing and freight are included. A lower price may result from a different configuration rather than a lower margin. Ask suppliers to state assumptions clearly and request a revised schedule when any design changes. This produces a fair comparison and reduces unexpected additions after the order is placed.

Before production, convert the accepted quotation into approved drawings and a final window schedule. Confirm handing, opening direction, color, glass, screen and accessories for each reference. Record any site dimensions that still need verification. The quotation establishes the commercial basis, but approved drawings control what the factory will make. A disciplined approval step is especially important for projects with repeated units, because one unclear detail can be repeated across many windows.
